Since we had so much fun last year, we're doing it again this year!! :D :D :D

RULES
1. To register interest, please PM the organiser (Amy) with a real and full name, and the address to which the present is to be sent. Forum names will not be accepted.
2. Members must have made a minimum of 100 posts to be eligible to play. Exceptions will only be made for members who have attended a forum event (eg. WA Retreat Weekend).
3. By participating, members accept the responsibility to acknowledge receipt of their gift when it arrives. Photos would also be appreciated if possible.
4. The cut-off date for expressions of interest is the 16th October (10 weeks before Christmas). There will be no exceptions to the cut-off date this year.
5. The name draw will be held and participants notified of their recipient on the weekend of the 19th and 20th of October.
6. The latest date by which presents should be posted is the 27th November (4 weeks before Christmas).
7. If a member does not answer 3 PM's from the organiser, their name will be removed from the list. Removal from the list can be at the discretion of the organiser.

I wasn't around and don't really know the protocol, but I am in. Is it all cooking related? Are there guidelines about what to buy, how much to spend etc? That might help the newbies like me ?

RW, it doesn't have to be cooking related. It can be anything. I think las year we set an average of about $20 for gifts, but it's up to you as the buyer. Some members made their gifts.

Looks like a great list of people there Amy. I enjoyed secret Santa last year, although I have no idea if my recipient liked her SS gift or not as I don't think she has been back on the forum since.

Sorry about that Mandi :( I tried to send a PM to every person who played the secret santa who didn't post anything about their gift, but some of them seem to have disappeared :(
On that note, I'd just like to ask that this year, everyone please post when you recieve your gift. It gives the SS peace of mind that it arrived safely.
So if we aim to have the draw completed by May? That still gives members 4 months to express their interest :)

That's ok Amy, not your fault. I know my gift was received. But the the last I have heard. Just nice to know that our SS gifts were appreciated (which I'm sure it was) :)

Please don't yell at me but I personally think May is way to early to be drawing names, there needs to be a close off date and then all the names drawn out.
If everyone loved it so much why not do a christmas in July Secret Santa or a card swap around Mother's Day.

Thoughts on Jenny's ideas?
I remember tarasis saying he would like to join in this year, and if any other blokes would like to join (are you reading this Den? ;D) then the Mother's day idea might not be suitable.

May is quite early as there will be lots of new members after that (I am sure some will want to join in) which might end up being a hassle having to keep drawing names. Also if done too early some people do leave the forum for whatever reason so they might not be around in December.

I'd prefer to leave it as it was last year - SS in December with a cut off date and names being drawn whenever it suits Amy. For those going overseas, you can still buy your gift - I'm sure what you bought would suit anyone. My 2 bobs worth ;D

I would also prefer it in December. And as Judy said, I'm sure gifts bought overseas by the holidayers would be lovely for anyone to recieve :D
So how about August as the cut-off? And I'll draw name in September? That gives everyone a couple of months to come up with their gift :)

Don't forget that we still need to post them Yvette, and some will need to post overseas. And I was thinking September so members could do a bit of research on the member they are sending to. Just a bit of extra fun and plenty of time to do it :)

Bumping this thread for 2 reasons :)
1. For newbies who want to express interest.
2. Because I have been thinking about this a bit over the past couple of weeks and want to lay some firm rules ;)
Last year I think the Secret Santa went fairly well considering it was the first one, but I believe I could organise it much better. I would really like to continue doing these each year (as long as members want to play) and therefore I want to perfect the organisation.
When it's done properly and fairly, it is lots of fun :D :D :D
I will be adding some rules to the first post. Please don't think it's because I want to mean or difficult. I just want to make sure the game is fair for everyone.
Last year I had a couple of newbies express interest in participating, and I included them in the draw because I don't like to leave people out. However, it isn't fair on other members when we never hear from these people again after I have sent out names and am under the impression that everyone will uphold their role in the game.
So newbies, if you want me to add you to the list, please consider whether you will still be regularly using the forum later in the year. We seem to have a lot of members register, hang around for a while and then we don't see them again.
I'll bump the thread again when I have added the rules to the first post. I'll probably send them to a moderator for proof reading first ;)

I think that is fair Amy. It is disappointing to allocate names etc. and then someone misses out on a SS present because the giver no longer is participating on the forum. :D
You did a wonderful job last year (thank you) it was such fun choosing a gift and watching the openings and receiving a gift.

That was one reason I didn't sign up last year... I wanted to make sure I'd still be around... We'll I am still here, perhaps should have joined up!
I do like the idea of a minimum amount of postings or something. It also might make it a bit easier for the person giving as they might feel they "know" the recipient more :)

Or a free pass if you went to Gracetown or have been to another get together. Some of these folks don't have many postings.

Amy, apart from disappearing members what other types of problems did you encounter? I know that can be a real and nasty problem.

I had so much fun with the SS last year Amy so I am glad to hear it will be running again this year! I'm sorry to hear that it was not fair for some people, that's such a shame. Like cookie said, what other problems did you encounter?
I think it is fair to have a minimum number of posts.

I think some people received their gifts but didn't bother to acknowledge that they had a simple thank you it has arrived was all that was needed.
it made me feel a little down when everyone was excitedly posting that they couldn't wait to receive or open it when it came but I had no feedback.this was only my personal experience so a little hesitant this time.
A post count is a good idea and thank you Amy you did a great job;D;D;D

Cookie and Snappy, the disappearing members was the main problem. I got very frustrated because I tried sending PM's but got either no response or a very vague response, and I knew I had made a mistake in letting those members join in when we knew so little about them. I also knew that other members, like Suzanne, would be the ones to be disappointed and disheartened by the lack of sportsmanship displayed by the disappearing members. It just wasn't fair and I'm not making the same mistake this year.
I felt that those members used the forum and it's members like we were just any random strangers. I didn't appreciate the lack of consideration they showed for us as a forum family.
Okay, rant over, back to happy Amy now :D :D :D
I might be making the rules more strict this year, but it will make it a lot more fun because it will be fair for everyone :-*

Yes you have to be tough Amy, we are a very close knit group here and welcome people with open arms. If they abuse that, it leaves a very sour taste in your mouth. Sorry to hear your story Suzanne, I completely understand how you must have felt as part of the excitement was waiting for our recipient to post receipt of the parcel we had sent them.
Let's hope it all runs smoothly this year - its not fair on you either Amy. It took up a lot of your time and you did a super job. Shame on those people.

Suzanne, of course I don't think you are blaming me, and I'm glad you and SoBlessed have been so open about your experiences from last year. It helps us make changes for the next one so it won't happen again :)

I've just been going through the list of participating members and I have given everyone a number so we can keep track of how many are playing. There are a couple to whom I'll be sending PM's because we haven't seen them around for a while. RhubarbWhine hasn't been active since February.

Another forum I'm on has quite strict criteria for people wanting to join swaps - a minimum time joined and post count, or you can get someone else to vouch for me. Not that I want to make it too strict - I've only been around here 6 mths, and no idea what my post count is - I know I'm on here a lot, but post relatively infrequently!

I have been transferring details from last year's spreadsheet to this year's, and there are a few people for whom I only have forum or first names. I'm going to send out a generic PM to all these members asking for a full name, as per the rules.
